Chief of Staff for Leadership Team – Anime Jewelry Brand

About the role

We are looking for a high‑trust Chief of Staff to partner directly with the founder and Director of Operations of a fast‑growing, Australia‑based anime‑inspired jewelry and accessories brand. This role blends executive support, customer‑experience oversight, and operational management, ideal for a proactive self‑starter who builds systems before they are needed.

Key responsibilities

• Design, build, and maintain automations across Zapier, Notion, Slack and other tools to streamline manual work.
• Create and manage internal workflows for hiring coordination, onboarding, reporting and team communications.
• Provide executive support for admin, coordination, follow‑ups and operational tasks on behalf of senior leadership.
• Own the master hiring tracker, ensuring candidate data, shortlists and pipeline updates are accurate.
• Coordinate hiring and HR operations, including job posting, interview scheduling and candidate follow‑up.
• Support customer‑experience operations, handling tickets, escalations and CX workflows.
• Develop and maintain SOPs, internal documentation and practical process guides.
• Identify bottlenecks and inefficiencies proactively and propose solutions.
• Prepare materials, track next steps and drive follow‑through on key business priorities.
• Remain responsive throughout the week, including weekends for urgent issues.

Required profile

• Prior experience in a Chief of Staff, Executive Assistant, Operations Manager or similar high‑trust role supporting founders or executives.
• Strong hands‑on experience with automation tools, especially Zapier (Make/Integromat a plus).
• Deep knowledge of Notion, capable of building functional workspaces from scratch.
• Experience managing recruiting operations and using ATS platforms such as JazzHR.
• Background in supporting or managing customer‑experience operations within e‑commerce or DTC environments.
• Clear, direct communication and professional representation of leadership.
• Ability to work independently and take full ownership of tasks.
