Private Travel Coordinator (Lisbon)

About the role

We are seeking a proactive Private Travel Coordinator to support a busy entrepreneur and their family in Lisbon and surrounding areas. This full‑time, highly in‑person position blends personal assistance, travel logistics, and household coordination to free the principal from routine decisions and administrative friction.

Key responsibilities

• Manage daily logistics, errands, bookings, purchases and returns for the principal and family.
• Maintain and protect the principal’s calendar, schedule meetings, calls and personal appointments, and filter email communications.
• Draft and, over time, send replies on behalf of the principal where appropriate.
• Plan and execute travel itineraries, including flights, hotels, transport, restaurant reservations and packing lists.
• Travel ahead of or alongside the principal to ensure accommodations, transport, gym access and local logistics are ready.
• Coordinate with household staff, external providers and service suppliers, creating systems and checklists that streamline daily life.

Required profile

• Highly organised, discreet and service‑oriented with a strong sense of initiative.
• Comfortable handling a wide range of personal and professional tasks in a fast‑moving environment.
• Excellent judgment, able to anticipate needs and solve problems before they arise.
• Willingness to work flexibly, including regular travel within Portugal and occasional trips abroad.
