VIP Service Manager

About the role

We are seeking a proactive VIP Service Manager to support a busy entrepreneur and their family with personal logistics, travel, calendar, inbox, and household coordination. This high‑trust, in‑person role focuses on removing administrative friction so the principal can concentrate on business, family, and health.

Key responsibilities

• Manage daily personal operations, including errands, bookings, purchases, and coordination with suppliers and household staff.
• Protect and organise the principal’s calendar, schedule meetings, filter emails, and draft or send replies when appropriate.
• Plan and execute travel arrangements, create itineraries, handle luggage and packing lists, and travel ahead or alongside the principal to ensure seamless experiences.
• Develop systems, checklists, and routines that streamline daily life and reduce decision fatigue.
• Conduct a daily priority review with the principal to address open loops and upcoming decisions.

Required profile

• Highly organised and detail‑oriented with a strong service mindset.
• Discreet, trustworthy, and comfortable handling confidential information.
• Proactive problem‑solver who can anticipate needs and act independently.
• Excellent communication skills and the ability to build relationships with external providers.
• Adaptable to a flexible schedule with regular travel within the Lisbon/Cascais/Oeiras area.
