Office Assistant

About the role

Conetic is seeking an Office Assistant to ensure smooth daily operations and provide an excellent experience for employees, visitors, and partners. Working closely with People, Marketing, IT, and Finance teams, you will deliver administrative, operational, and logistical support across the business.

Key responsibilities

• Coordinate all business travel arrangements, including flights, hotels, ground transport, and itineraries, while ensuring policy compliance.
• Oversee day‑to‑day office management, maintaining facilities, organizing supplies, and supervising service providers such as cleaning, maintenance, and catering.
• Monitor inventory, place orders for office supplies, and manage cost‑efficient procurement.
• Process invoices, track office expenses, and support purchase‑order activities in partnership with Finance.
• Assist IT with new‑employee onboarding, workspace preparation, and equipment coordination.
• Support People initiatives, including onboarding, internal communications, and wellbeing programs.
• Help Marketing and People execute internal and external events, meetings, workshops, and corporate celebrations.
• Handle correspondence, deliveries, visitor reception, and logistics for meetings and events.
• Maintain up‑to‑date office policies, procedures, and administrative documentation.

Required profile

• Previous experience as an Office Assistant, Receptionist, Administrative Assistant, or Office Coordinator.
• Availability to work on‑site full‑time.
• Comfortable working in a fast‑paced environment.
