General Services Coordinator – Multi‑site (Lisbon, Madrid, Tunis)

About the role

We are seeking a General Services Coordinator to ensure smooth operations, safety, and an optimal working environment across our sites in Lisbon, Madrid, Tunis and other international locations. You will manage service providers, oversee regulatory compliance, and support internal teams on facilities matters.

Key responsibilities

• Participate in and monitor fit‑out and workspace projects for Lisbon and Madrid sites.
• Manage orders, stock, supplies and furniture.
• Control access and security systems, including badges and safety protocols.
• Supervise corrective and preventive maintenance, technical interventions and fire safety.
• Ensure buildings meet company needs and provide a safe, comfortable environment.
• Handle internal service requests and coordinate with service providers, contracts and invoice validation.
• Monitor budgets, analyse expenses and ensure compliance with health‑and‑safety regulations.
• Update procedures, support ISO 27001 compliance and participate in audits.
• Collaborate with IT on stock management and IT service provider follow‑up.
• Build internal networks and support local teams at international sites, with occasional travel.
• Process supplier invoices, validate with budget owners and monitor consumption.

Required profile

• Two‑year higher education diploma (Bac+2) in administrative management or secretarial work.
• Fluent in English, French and Portuguese; Spanish is a plus.
• Strong analytical, organizational and multitasking abilities.
• Excellent interpersonal and communication skills for interacting with diverse stakeholders.

Required skills

• Proficiency with Microsoft Office tools.
