Executive Assistant (IT/FR/SV/DE/NL) – Hybrid

About the role
We are looking for an experienced Executive Assistant to support up to three Partners in a professional services firm. Reporting to the UK EA Manager, you will act as a trusted business partner, ensuring smooth day‑to‑day operations and enabling senior leadership to focus on strategic priorities.
Key responsibilities
- Provide end‑to‑end executive‑level administrative support to assigned Partners.
- Manage complex diaries, emails and competing priorities across multiple time zones.
- Coordinate domestic and international travel, itineraries and logistics.
- Support client and business development activities, including CRM updates and meeting coordination.
- Prepare expenses, timesheets and assist with contract and compliance workflows.
- Liaise with cross‑functional teams such as Finance, IT, HR, Legal and Facilities.
- Represent the firm professionally with stakeholders and clients, and cover short‑term team initiatives when needed.
Required profile
- Minimum 2 years of experience as an Executive Assistant, Admin Assistant or similar role.
- Experience in professional services is a strong plus.
- Fluency in English (mandatory) and additional languages (IT, FR, SV, DE, NL) is desirable.
- Excellent organisational, prioritisation and decision‑making abilities.
- Proactive, resourceful and able to operate confidently in a fast‑paced environment.
- Strong written and verbal communication skills.
Required skills
- Strong proficiency in Microsoft Office Suite.
- Experience with CRM systems (knowledge of any CRM is an advantage).
What we offer
- Initial 6‑month fixed‑term contract.
- Annual salary between €25,000 and €30,000.
- Hybrid working model – three days per week in the office.
- Office located in central Lisbon within a collaborative, international environment.
