About the role
We are seeking a proactive Executive Assistant to support two Directors and occasionally other members of the Management Committee in our newly opened Porto office. You will be the central point of contact for scheduling, correspondence, and event coordination, ensuring smooth daily operations in a fast‑moving, multicultural environment.
Key responsibilities
- Manage the calendars of two Directors, schedule meetings across multiple time zones, and arrange conference calls.
- Organise internal and external events, including venue booking and preparation of documentation.
- Provide day‑to‑day administrative support such as handling calls, correspondence, and travel arrangements.
- Prepare and follow up on corporate documents, contracts, and expense reports in collaboration with relevant teams.
- Liaise with clients, lawyers, notaries, and other external stakeholders.
- Enter and maintain timesheets, coordinate digital signature collection, and support the preparation of presentations.
Required profile
- Minimum high school diploma or equivalent.
- At least 2 years of experience as an Administrative Assistant in an international setting.
- Fluent English (written and spoken); French is a plus.
- Strong organisational, time‑management and communication skills.
- Ability to handle confidential information with discretion and work under pressure.
Required skills
- Proficiency with Microsoft Office tools.
