Group & Events Coordinator – Madeira

About the role

The Pestana Hotel Group is seeking a motivated Group & Events Coordinator to support its Madeira region events team. You will act as the primary point of contact for group inquiries, ensuring seamless communication and service delivery from initial contact through contract hand‑over.

Key responsibilities

• Answer incoming calls and emails related to group bookings, ensuring all leads are promptly addressed.
• Analyse group requests, verify hotel availability, block rooms and event spaces, and prepare accurate quotations.
• Upload room blocks and event requirements into the Opera PMS and manage the group’s lifecycle until hand‑over to the property team.
• Coordinate on‑site activities, maintaining effective communication with operational departments during the contracting phase.

Required profile

• Academic degree in hospitality or a related field.
• Previous experience in a hotel Groups Department.
• Excellent written and verbal English communication, strong interpersonal and negotiation abilities.
• Customer‑focused mindset, results‑driven, and a collaborative team player.

Required skills

• Proficiency in Microsoft Office.
• Hands‑on experience with the Opera property management system.
