Food & Beverage Administrative Assistant

About the role

The Food & Beverage Administrative Assistant supports daily operations across multiple F&B outlets at Lisbon Marriott Hotel, including Citrus, In‑Room Dining, Tapas, and Banquets. This full‑time position ensures smooth administrative processes, accurate inventory control, and effective communication between departments.

Key responsibilities

• Provide office management, purchasing, and inventory control for all F&B outlets.
• Monitor and analyse operational costs, supplier performance, and merchandising activities.
• Create, update, and upload menus on relevant platforms.
• Prepare and distribute daily operational communications, including Banquet Event Orders (BEOs) and special requests.
• Coordinate purchasing activities: request quotations, issue purchase orders, and track supplier communications.
• Manage monthly closing procedures and submit financial documentation for each outlet.
• Support departmental meetings by preparing agendas and recording minutes.
• Liaise with Finance, Sales & Marketing, and Human Resources to ensure seamless inter‑departmental processes.

Required profile

• Fluent English; Portuguese preferred.
• Strong organizational and communication skills.
• Ability to work under pressure and meet tight deadlines.
• Attention to detail and high level of confidentiality.
