About the role
The Administration Services Assistant provides high‑quality administrative support to executives, senior managers and teams across BNP Paribas locations. Working in a fast‑paced shared service centre, the role focuses on streamlining daily operations and ensuring smooth coordination of meetings, travel and expense processes.
Key responsibilities
- Provide full administrative and secretarial support to service partners locally and on‑shore.
- Manage calendars, organise multi‑stakeholder meetings, book rooms and set up digital or video conferences.
- Arrange corporate travel, ensuring compliance with travel policies.
- Process out‑of‑pocket expense claims, invoices and cost reports accurately and on time.
- Assist with IT access requests, licence management, mailing list updates and shared mailbox administration.
- Coordinate onboarding and off‑boarding activities, including user identifiers, IT tools, access badges and directory updates.
- Support other Administrative Assistants during absences and handle transversal tasks such as visa arrangements, business card orders, document production, event organisation and catering.
Required profile
- Strong teamwork and collaboration skills.
- Adaptable, detail‑oriented and able to work with a sense of urgency.
- Client‑focused with excellent oral and written communication.
- Fluent English and operational French.
