Maintenance Operations Coordinator

About the role

NestedNested, a Brussels‑based residential operator, is expanding its in‑house maintenance engine into a service for third‑party building owners. As the Maintenance Operations Coordinator you will own the end‑to‑end flow of every maintenance ticket, from intake through to invoicing, ensuring smooth execution and high data quality.

Key responsibilities

• Tri­age incoming tickets, assess urgency, category and approval needs.
• Plan and dispatch technicians, schedule visits with tenants and confirm access.
• Act as the single point of contact for B2B clients on maintenance matters.
• Set reminders, chase tasks and guarantee no ticket remains unattended.
• Source and purchase parts or equipment online, balancing cost and speed.
• Maintain accurate job data (hours, materials, photos, reports) for invoicing and audit compliance.
• Prepare monthly invoicing cycles with correct VAT treatment per building.
• Convert diagnostics into quotes, follow up and flag commercial opportunities.
• Report maintenance status to relevant stakeholders and approve AI‑drafted communications.
• Continuously improve operational playbooks as volume grows.

Required profile

• Minimum 3 + years experience in property, facility or technical building management.
• Proven ability to manage high‑volume ticket flows and coordinate field teams.
• Strong attention to detail and data accuracy.
• Excellent communication with tenants, technicians and B2B clients.
