Marketing Administrative Assistant

About the role

We are looking for a Marketing Administrative Assistant to support the Global Marketing Department in ensuring efficient execution of administrative and logistics operations. The role will help coordinate materials, suppliers, trade fairs, events and cost control, contributing to operational excellence.

Key responsibilities

• Provide administrative and operational support to the Global Marketing Department.
• Coordinate ordering, stock management, storage and distribution of marketing materials and merchandising items.
• Manage logistics for marketing samples and promotional assets, ensuring timely delivery.
• Process purchase orders and register costs for budget control using internal IT applications.
• Maintain accurate records, reports and inventories of marketing stock.
• Collaborate with internal stakeholders and external suppliers on production, deliveries and operational requirements.
• Support organization of trade shows and events, handling supplier briefings, sourcing, logistics, catering, material preparation and administrative follow‑up.
• Obtain quotations and coordinate external vendors such as agencies, printers, translators and merchandising suppliers.
• Provide day‑to‑day administrative assistance and operational follow‑up for marketing activities.

Required profile

• High school diploma (12th grade) required.
• Minimum of 3 years’ experience in administrative support, coordination, logistics or marketing operations, preferably in a multinational environment.
• Fluent in Portuguese, English and Spanish.
• Strong organizational and multitasking abilities with high attention to detail.
• Willingness to travel occasionally for events and trade fairs.
