Client Success, Operations & Office Manager

About the role

Urbanis is seeking a Client Success, Operations & Office Manager to join its Porto office. The role blends client relationship management, operational oversight and office administration to ensure a seamless, professional experience for every client.

Key responsibilities

• Communicate with potential and existing clients in a professional, personalized manner.
• Support clients throughout all stages of their journey, delivering high‑level service.
• Handle incoming leads quickly, accurately and with consistent follow‑up.
• Manage tasks, timelines and processes to guarantee no detail is missed.
• Coordinate between clients, consultants, agents and internal departments.
• Provide day‑to‑day operational and back‑office support to the commercial team.
• Organise the daily flow and overall office environment.
• Maintain CRM systems, databases and property listings up‑to‑date.
• Create structure, clarity and accountability in a fast‑moving work environment.

Required profile

• Service‑oriented with strong communication skills and ability to build trust.
• Empathetic, proactive and highly organized with excellent follow‑up.
• Confident using digital tools and multi‑step operational processes.
• Previous experience in client success, customer service, operations, office management or sales support.
• Experience in call‑center or structured service environments (e.g., telecom) is a strong advantage.
• High level of English and good Portuguese.
• Based in Porto or nearby and available for full‑time on‑site work.
