About the role
Beats Medical is seeking a proactive Executive Assistant with a strong focus on sales enablement. Reporting directly to the CEO, you will manage a high‑volume pipeline, coordinate cross‑functional meetings, and ensure all client communications are polished and timely. This fully remote position supports a fast‑paced, mission‑driven environment in the digital health sector.
Key responsibilities
- Draft, send, and track client communications and outreach using HubSpot CRM.
- Schedule and coordinate internal and external meetings across multiple time zones.
- Maintain the executive calendar, triage email, and prioritize tasks.
- Join client calls, capture next steps, and drive follow‑ups.
- Prepare agendas, meeting notes, and supporting materials.
- Support conference‑related outreach, including travel arrangements and post‑event follow‑up.
- Ensure data accuracy and organization within CRM and other digital tools.
Required profile
- 4+ years of experience supporting senior executives in a fast‑paced setting.
- Excellent organisational, planning and project‑management abilities.
- Strong written and verbal communication skills, capable of producing high‑quality content.
- Proactive, resourceful, and able to work independently.
- Professional presence in client‑facing situations and high attention to confidentiality.
Required skills
- Microsoft Office suite, including PowerPoint.
- HubSpot CRM.
