About the role
We are looking for an Administrative Assistant to join our Executive Assistant Team in Lisbon. The role is hybrid, requiring at least three days a week on site, and supports senior professionals across the firm.
Key responsibilities
- Manage complex calendars for 5‑6 senior principals, scheduling internal and external meetings.
- Coordinate travel arrangements, including flights, accommodation, and ground transport.
- Prepare monthly timesheets and expense reports for assigned principals.
- Maintain and update the marketing CRM client contact database.
- Assist the Marketing Department with customized mailings and document preparation using firm‑specific formatting.
- Provide short‑term coverage for other Administrative Assistants and support partners during transition periods.
- Participate in team meetings and process‑improvement projects.
Required profile
- Minimum one year of experience in an administrative or customer‑service role.
- Fluency in English and at least one of German, Dutch or French.
- Strong problem‑solving abilities and a service‑focused mindset.
- Excellent communication and negotiation skills across multicultural environments.
- Ability to handle confidential information with discretion.
- Capacity to manage a high volume of work and meet tight deadlines.
