Project Coordinator – Remote (Portugal)

About the role

We are looking for a proactive Project Coordinator to support the Senior Manager in executing multi‑therapeutic projects. The role is fully remote from Portugal and involves close collaboration with external experts and internal teams.

Key responsibilities

• Develop detailed project plans, timelines and deliverables together with the Project Manager.
• Maintain spreadsheets for recruitment, travel, fees and payment reporting.
• Track milestones, monitor progress with Smartsheet, HubSpot and Microsoft Office, and provide regular status updates.
• Prepare and collect documentation such as COI, W‑9, ACH forms and contracts.
• Support quarterly and annual close‑out processes, including payment uploads.
• Identify risks, propose mitigation strategies and communicate scope changes.

Required profile

• Strong organisational and communication abilities.
• Capacity to manage multiple priorities in a remote environment.
• Attention to detail and proactive problem‑solving.
• Flexibility to work extended hours during critical phases.

Required skills

• Experience with Smartsheet.
• Experience with HubSpot.
• Proficiency in Microsoft Office suite.

• Annual gross salary of €22,000.
