Private Concierge – Personal Assistant for Entrepreneur

About the role

We are seeking an exceptional Private Concierge to support a busy entrepreneur and his family in Lisbon. The role is highly practical and in‑person, handling personal logistics, travel, calendar, inbox, household coordination and daily life operations so the principal can focus on business, family and health.

Key responsibilities

• Manage daily logistics, errands, bookings, purchases and returns, and coordinate appointments, suppliers and services.
• Develop and maintain systems, checklists and routines that streamline the principal’s personal operating system.
• Protect and organise the principal’s calendar, schedule meetings and personal appointments, filter emails and draft replies, and reduce unnecessary communication.
• Plan and execute travel arrangements, including flights, hotels, transport, itineraries, luggage and packing lists; travel ahead of or alongside the principal to ensure seamless experiences.
• Work with household staff and external providers, handling Portuguese administrative tasks and ensuring practical issues are resolved before they become problems.

Required profile

• Proactive, discreet and service‑oriented with a high level of trust.
• Highly organised, able to think ahead and act independently.
• Comfortable handling a wide range of tasks from calendar management to travel logistics and household coordination.
• Excellent communication skills and the ability to quickly learn the principal’s preferences.

Required skills

• Strong proficiency with calendar and email management tools.
• Experience planning complex travel itineraries.
• Ability to create and maintain organisational systems and checklists.
