Maintenance Assistant

About the role

The Maintenance Assistant provides administrative, logistical and safety support to the Maintenance Department of a terminal. This role ensures effective coordination of procurement processes, documentation control and contractor activities, while supporting the terminal’s safety reporting related to maintenance operations.

Key responsibilities

• Generate and manage purchase orders for maintenance‑related materials and services, request and consolidate vendor quotes, and track procurement status.
• Create, update and close maintenance work orders in the CMMS and maintain an organized archive of records, certifications, warranties and technical documentation.
• Follow up on pending services or deliveries from external contractors, organize contractor visits, and handle access requests, documentation checks and safety onboarding.
• Assist in compiling maintenance‑related safety data, such as corrective actions, equipment failures and inspections, and ensure proper documentation within the safety reporting system.
• Support inventory reconciliation for spare parts, tools and consumables, and maintain records of asset tags, equipment inspections and calibration schedules.

Required profile

• Minimum 2 years of administrative experience, preferably in maintenance, logistics or industrial operations.
• Associate degree in Industrial Management, Business Administration, Engineering Technology or equivalent.
• OSHA 10/30 or other safety training certificates preferred.
• Effective written and verbal communication in both Spanish and English.
• Physical ability to move between office and operational areas as needed.

Required skills

• Strong organizational and follow‑up abilities.
• Proficiency with Microsoft Office (Excel, Word, Outlook).
• Experience with ERP or CMMS systems, preferably NAV.
• Ability to interpret and manage technical documentation.
• Basic understanding of safety principles and maintenance processes in industrial environments.
