Estate Manager – Lisbon

About the role

We are seeking an exceptional Estate Manager to support a busy entrepreneur and their family in Lisbon, Cascais and Oeiras. This highly‑in‑person role blends personal assistance, household coordination and travel logistics to create a frictionless daily life for the principal.

Key responsibilities

• Manage daily logistics, errands, bookings, purchases and returns, ensuring practical issues are solved before they become problems.
• Coordinate appointments, suppliers, deliveries and services, and develop systems, checklists and routines that streamline life.
• Protect and manage the principal’s calendar, schedule meetings, calls and personal appointments, and filter email communications.
• Draft replies and, over time, respond on behalf of the principal where appropriate, reducing noise and low‑value decisions.
• Plan and execute travel arrangements, including flights, hotels, transport, restaurant reservations, luggage and packing lists.
• Travel ahead of or alongside the principal to verify accommodations, transport, gym access and local logistics, solving any issues before arrival.

Required profile

• Proactive, discreet and service‑minded with a high level of trust.
• Highly organised, able to think ahead and act independently.
• Comfortable handling a wide range of tasks from calendar management to household staff coordination.
• Excellent communication skills and the ability to quickly learn the principal’s preferences.
• Willingness to travel regularly and work flexibly in an in‑person environment.
