Educational Travel Operations Officer

About the role

Based in Lisbon, the Educational Travel Operations Officer will own the end‑to‑end delivery of educational tours across the EMEA region. Reporting to the EMEA Operations & Product Manager, you will collaborate with Sales, Customer Experience, Finance, Safety and the Adventure Leader team to ensure each tour is safe, financially controlled and well prepared.

Key responsibilities

• Prepare accurate quotations and costings by gathering up‑to‑date supplier rates and verifying itinerary feasibility.
• Take full operational ownership of assigned tours, turning programmes into realistic itineraries and coordinating accommodation, transport, meals, activities, guides and other services.
• Manage supplier relationships, bookings, rates, contracts and payment deadlines while maintaining precise tour budgets.
• Communicate clearly with internal teams, record decisions and handle amendments throughout the tour lifecycle.
• Collect, record and upload required supplier and activity documentation in the Safety Compliance System, monitoring expiries and escalating gaps.
• Conduct pre‑departure quality checks and provide live operational support during tours, addressing changes or issues calmly and efficiently.

Required profile

• Proven experience in travel or tour operations, preferably within an educational context.
• Strong organisational abilities and attention to detail to manage budgets, documentation and timelines.
• Excellent written and verbal communication skills for internal and external stakeholder interaction.
• Ability to identify risks early and escalate issues to protect quality, cost and delivery.
