Client Success, Operations & Office Manager

About the role

Urbanis, an international PropTech company based in Portugal, is seeking a dynamic professional to join its Porto office. The role blends client success, operational oversight, and office management to ensure every client enjoys a seamless, high‑quality experience from first contact through project completion.

Key responsibilities

• Maintain proactive, personalized communication with prospective and existing clients.
• Guide clients through each stage of their journey, delivering consistent, high‑level service.
• Rapidly process incoming leads, ensuring accurate follow‑up and documentation.
• Coordinate tasks, timelines, and cross‑functional processes to avoid any detail being overlooked.
• Liaise between clients, consultants, agents, and internal departments to keep projects on track.
• Provide day‑to‑day operational and back‑office support to the commercial team.
• Oversee the daily flow and organization of the office environment.
• Maintain up‑to‑date CRM records, databases, and property listings.
• Introduce structure, clarity, and accountability in a fast‑moving setting.

Required profile

• Service‑oriented with strong communication skills and the ability to build trust.
• Empathetic, detail‑focused, proactive, and excellent at follow‑up.
• Comfortable using digital tools and managing multi‑step operational processes.
• Previous experience in client success, customer service, operations, office management, or sales support.
• Experience in call‑center or structured service environments (e.g., telecom) is a strong advantage.
• High level of English, good Portuguese, and based in Porto or nearby.
