Technical Office Manager

About the role

We are looking for a Technical Office Manager to join a live data centre project in Lisbon. The role acts as the vital link between the project office and site teams, ensuring smooth flow of information, documentation and communication across all functions.

Key responsibilities

• Manage and coordinate information flow between office and site teams.
• Oversee project documentation such as drawings, RFIs, transmittals, registers and correspondence.
• Maintain document control systems, keeping records accurate, up‑to‑date and accessible.
• Coordinate meetings, track actions and distribute minutes to stakeholders.
• Support the project management team with reporting, scheduling and administrative tasks.
• Assist with quality, health & safety and compliance record‑keeping.
• Liaise with clients, subcontractors and consultants as required.
• Help manage procurement tracking and material deliveries between office and site.

Required profile

• Previous experience in a technical office, project administration or document control role within construction, engineering or a related field.
• Strong organisational abilities and capacity to handle multiple priorities.
• Excellent communication skills for both office‑based and site‑based teams.
• Proficiency in Microsoft Office; familiarity with document management systems (Aconex, Asite, BIM 360 or similar) is a plus.
• Proactive, problem‑solving mindset with high attention to detail.
• Willingness to work on‑site and travel between office and site environments.
