Executive Assistant to Plant Manager

About the role

We are looking for a highly organized Executive Assistant to support the Plant Manager at our Albergaria-a-Velha site. In this trusted position you will act as the manager’s right hand, ensuring smooth daily operations and facilitating strategic initiatives across the plant.

Key responsibilities

• Prepare, run and follow‑up on management meetings, workshops and site visits.
• Draft decision papers, presentations and executive summaries.
• Implement and maintain steering tools, reporting systems, KPI/OKR tracking and performance dashboards.
• Serve as the interface between local teams, corporate HQ and external partners.
• Coordinate cross‑functional projects in R&D, production, logistics and procurement.
• Research best practices, identify operational risks and propose mitigation strategies.
• Monitor budget adherence and analyse cost‑saving opportunities.
• Support HR in workforce planning, onboarding, training and change‑communication.
• Contribute to smart‑factory initiatives and digital tool roll‑outs.
• Organise strategic off‑sites, town‑halls, plant tours and prepare internal/external communications.

Required profile

• University degree in engineering, business or a related field.
• Relevant experience in project management, operations or consulting, preferably in an industrial or international environment.
• Proficiency in MS Office and familiarity with digital reporting tools.
• Fluent in English and Portuguese; German is a plus.
• Reliable, detail‑oriented, calm under pressure and service‑oriented.
• Strong communication and organisational skills with a strategic mindset.
